This page explains what personal information Deutsch am Abend collects, why we collect it, and how we keep it safe.

Deutsch am Abend ("we," "us," or "our") is a non-profit German language community based in the Philippines. We collect a limited amount of personal information through this website — only what we need to run our courses, process membership applications, and respond to donations and enquiries.

1. What information we collect

We collect personal information directly from you when you use one of the following forms on this site:

Course Registration

When you fill in the registration form, we collect:

  • Full name — to identify you and address you correctly
  • Date of birth — to confirm course eligibility where relevant
  • Email address — to confirm your registration and respond to you
  • Phone number — to reach you about scheduling if email isn't possible
  • City / location — to help us plan venues and online vs. in-person sessions
  • Course selection, prior German level, and preferred schedule — to place you in the right class
  • Goals or questions you choose to share — to help us support your learning

Community Membership

Membership applications are processed by downloading a PDF form, filling it in by hand or digitally, and emailing it back to us together with proof of payment. This form may include your name, contact details, and payment reference information. Because this happens by email rather than through a website form, it is sent and stored according to your own email provider's practices as well as ours.

Donations

When you use the donation form, we collect:

  • Your name and email address — to acknowledge your donation and follow up with payment details
  • Donation amount and frequency — to record your intended contribution
  • Any message you include — such as a dedication or question
  • Whether you'd like a donation receipt — for your own tax purposes

We do not collect or process any payment card details on this website. Donations and course fees are completed separately, via bank transfer or GCash, using details we send you directly.

General browsing

We do not use tracking cookies, analytics scripts, or advertising pixels on this website. Standard web server logs (such as IP address and browser type) may be retained temporarily by our hosting provider for security purposes, but we do not actively collect or analyze this data ourselves.

2. Why we collect it

We only use your information for the purpose you provided it:

  • To register you for a course and place you at the right level
  • To process and confirm Community Membership applications
  • To follow up on donation enquiries and issue receipts where requested
  • To respond to questions sent through our contact channels
  • To communicate important updates about your course, such as schedule changes

We do not use your information for advertising, and we do not sell or rent personal information to any third party.

3. How we store and protect it

As a small non-profit, we keep our data practices simple and limited in scope. Information submitted through our forms is delivered directly to our team's email inbox via the third-party service described below — we do not maintain a separate database of registrants or donors beyond our email records and any internal spreadsheets used for class planning.

We take reasonable steps to keep this information secure, including limiting access to staff and volunteers who need it to do their work, such as confirming registrations or processing membership applications.

4. Third-party services we use

Our registration and donation forms are powered by EmailJS, a third-party service that delivers form submissions from your browser directly to our email inbox. When you submit a form, the information you enter is transmitted through EmailJS's servers in order to reach us. EmailJS's own privacy practices apply to that transmission — you can read more at their website if you'd like details on how they handle data in transit.

We do not use any other third-party analytics, advertising, or tracking services on this website.

5. When we share your information

We do not share your personal information with outside organizations, except:

  • With the third-party service (EmailJS) used to deliver form submissions to us, as described above
  • If required by law, such as in response to a valid legal request
  • With your explicit consent, such as if you ask us to confirm your membership status to a third party

6. How long we keep it

We keep registration, membership, and donation records for as long as reasonably necessary to administer our courses and community programs — generally for the duration of your enrollment or membership, plus a reasonable period afterward for our own record-keeping. If you'd like us to delete your information sooner, you can ask us directly (see Section 7).

7. Your rights and choices

You can, at any time:

  • Ask us what personal information we hold about you
  • Ask us to correct inaccurate information
  • Ask us to delete your information, where we don't have a legal or administrative reason to keep it
  • Withdraw consent for us to contact you, at which point we will stop unless otherwise required for an active course or membership you're enrolled in

To exercise any of these, email us at the address in Section 10 and we'll respond within a reasonable time.

8. Information from minors

Some of our learners may be under 18. Where a learner is a minor, we ask that a parent or guardian assist with registration and review this policy. We collect the same limited information described above and use it only for course administration — we do not knowingly collect more information from minors than from adult learners.

9. Changes to this policy

We may update this policy from time to time as our programs grow or our practices change. The "Last updated" date at the top of this page reflects the most recent revision. We encourage you to check back periodically.
